POSITION SUMMARY:
The Administrative Assistant is responsible for providing clerical and administrative support in an effective and
efficient manner for the Income Assistance Administrator.
DUTIES AND RESPONSIBILITIES:
▪ Provides overall administrative and secretarial support to the Income Assistance Administrator.
▪ Create and maintain an appropriate filing system to ensure fast retrieval of documents.
▪ Perform general office duties such as maintaining and managing records, basic bookkeeping.
▪ Maintain a schedule for the Income Assistance Administrator.
▪ Maintain a high level of confidentiality in all interactions.
▪ Assist in planning and preparation of meetings, conferences, and conference telephone calls.
▪ Receive, direct, and relay telephone messages and fax messages.
▪ Assist with the distribution of Income Assistance cheques or food vouchers.
▪ Handle and prioritize all outgoing and incoming correspondence (e-mail, letters, packages etc.).
▪ Maintain a professional image and demeanor with all employees, management, executives, and visitors on
every occasion.
▪ Monitor the use of office supplies and equipment.
▪ Maintain an adequate inventory of office supplies, order as necessary.
▪ May be asked to run errands if/or and the Income Assistance administrator is busy.
▪ Other duties that are relevant to this position shall be assigned as required.
Requirements:
▪ Experience in the Administrative Assistant field, or relevant to the role is considered an asset.
▪ Proficient use of various office-based software including Microsoft Word, Excel etc.
▪ Driver’s license and access to a reliable vehicle is an asset.
CONDITIONS OF EMPLOYMENT:
• Clear Criminal Record and Vulnerable Persons check and Child Abuse Registry check.
▪ Required to sign a confidentiality agreement
▪ Must be willing to submit to random drug testing.
