POSITION: Support to Nurse/ Reception Department: Health

POSITION SUMMARY:
The Support to Nurse/ Medical Clerk is the first point of contact and is responsible for the provision of
day-to-day reception and administrative support services for Swan Lake First Nations Health Centre.
These supports include assisting and referring callers/ visitors, managing correspondence; filing
management, inputting data, compiling statistics; maintaining records and managing the general office
environment.
DUTIES AND RESPONSIBILITIES:
▪ Opening the office doors at 8:30am – (15 minutes) prior to office opening.
▪ Locking up at closing time – 4:30 p.m.
▪ Ensuring the lights and equipment are turned off.
▪ Greet clients and assist by showing them to the right office after phoning the appropriate person.
▪ Receiving incoming calls and answer routine inquiries, transfer calls to the appropriate personnel.

▪ Keep the community calendar up to date and post relevant information.
▪ Compile information from the Health Team and edit for monthly newsletter.
▪ Receive all incoming correspondence, open and distribute according to action required unless
marked personal and confidential.
▪ Arrange outgoing correspondence to ensure the completion of proper forms to accompany items
shipped.
▪ Order the necessary supplies to ensure the ongoing efficient services of the office such as office
supplies, stationery and medical supplies.
▪ Process incoming faxes by copying & distributing to appropriate personnel & filing master copy.
▪ Coordinate/schedule meeting rooms.
▪ Assume other duties as directed.
QUALIFICATIONS:
▪ Minimum of Grade 12 or equivalent training or experience
▪ Computer Skills (Microsoft Word/Excel), for reporting requirements ie: MTR system, Tele-phone
health
▪ Computer literacy – Typing skills of minimum of 30 words per minute
▪ Possess good verbal and written communication skills
▪ Willingness to take additional training to enhance current skills
▪ Ability to grasp new concepts and ideas
▪ Ability to speak or understand the Ojibway language/culture
▪ Neat in appearance, friendly and display a cooperative personality to the public at all times
▪ Must be an effective team player
▪ Effective time management skills

▪ Speak and Act courteous and respectful at all times
▪ Must be able to follow direction
▪ Must be able to volunteer in community activities when required
▪ Good communication and interpersonal skills.
▪ Supervisory and administrative experience an asset.
▪ Ability to maintain flexibility, patience, and have excellent observation skills.
▪ Strong leadership, critical thinking, decision making, and problem-solving skills.
▪ Must be able to lift at least 50 lbs.
▪ Ability to maintain strict confidentiality.
CONDITIONS OF EMPLOYMENT:
• Access to reliable transportation to and from work as travel may be required.
• Clear Criminal Record and Vulnerable Persons check and Child Abuse Registry check.
• Valid provincial class 5 driver’s license
• Reliable transportation to work
▪ CPR/Basic First Aid training
▪ Required to sign a confidentiality agreement
▪ Must be willing to submit to random drug testing.
