POSITION: MEMBERSHIP CLERK
Term: Part-time
Reports to: Director of Operations
DEPT: ADMINISTRATION
Hourly Rate: $20.00/hour

The Membership Clerk is responsible for maintaining the Swan Lake First Nation Band
membership list, ensures all vital statistics records and files are in order and issuance of Indian
Status/Band membership cards. They will participate in determining eligibility for Indian Status to
eligible persons and secure Certificate of Indian Status.

DUTIES AND RESPONSIBILITIES:
• Part time – Hours of work: Monday to Friday – 8:30 a.m. – 12:30 p.m.
• Support the Department and the Government in delivering on key commitments through
responding to First Nation communities and members in the area they serve.
• IRA’s are critical to the delivery of the Department’s services and supporting the Indian
Registrar in performing registration activities related to post-1985 registrations and life
events.
• Maintain the Indian Registration & Band Lists Program.
• Issue status cards to registered Indians and/or assist individuals in applying for a Secure
Certificate of Indian Status card (SCIS).
• Advise and support clients by reviewing Applications for Registration on the Indian
Register and Applications for SCIS.
• Obtain and carefully examine supporting documents including birth, death, marriage, and
divorce certificates to determine their acceptability for event recording purposes.
• Prepare, review, and submit reports to the Regional Office.
• Note any inconsistencies in the IRS reports that are received from the Regional Office and
advise Regional Office of the discrepancies.
• Provide information to applicants on departmental policies and procedures related to
Applications for Registration.
• Record all Certificate of Indian Status (CIS) cards issued on CIS Registers.
• Notify the Regional Office of any changes to contact information at the Band level.
• Participate in the distribution of annual Treaty annuities.

QUALIFICATIONS:
• Ability to understand legislation and departmental policies/practices and apply them with
respect to Indian Registration.
• Effective oral communications with clients.
• Ability to use a computer.
• Organize and maintain records.
• Protect confidential information.
• Prepare correspondence.
• Effective interpersonal skills.
• Good judgement, tact, discretion.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
• High school diploma, GED, or other equivalent Schooling.
• Experience as a File Clerk preferred.
• Excellent written and verbal skills and comprehension.
• Excellent time management skills.
• Highly organized with excellent problem-solving skills.
• Experience with financial software considered an asset.

CONDITIONS OF EMPLOYMENT:
• Valid Class 5 Drivers License
• Access to reliable transportation to and from work as travel is required.
• Clear Criminal Record and Vulnerable Persons check and Child Abuse Registry check.
• Must be willing to submit to random drug testing.
